Managello has a native QuickBooks Online sync so you're not re-keying billing into your accounting ledger. It's built in, but off until you connect it — nothing is shared with QuickBooks unless you set it up.
What it does
Once connected, Managello pushes your billing events to QuickBooks Online automatically:
- Invoices when you issue them
- Payments when they're recorded or paid by card
- Refunds when you refund a card payment
- Voids when you void an invoice
So your QuickBooks ledger stays current without manual entry.
One-way, with Managello as the source of truth
The sync is one-way: Managello → QuickBooks. Managello stays the source of truth for your invoicing — it pushes changes out but never pulls edits back in. That keeps a single authoritative record and avoids two systems fighting over the same invoice.
Xero isn't supported yet. QuickBooks Online is the only accounting provider today. The integration is built provider-agnostically, so a Xero adapter can be added later without changing your data.
Connecting
- Go to Settings → Accounting (admin-only).
- Click Connect QuickBooks and authorize through QuickBooks' secure sign-in screen — Managello never sees your QuickBooks password.
- Once connected, new billing events start pushing automatically.
Bringing existing invoices across (backfill)
Turning the sync on doesn't leave your history behind. You can backfill existing issued invoices and payments so QuickBooks matches your books from before you connected — not just from today forward.
Staying in sync (drift)
Managello periodically reconciles drift — checking that what it pushed still matches QuickBooks and re-pushing anything that didn't land — so a transient QuickBooks outage doesn't leave your ledger quietly out of date.
Pausing the sync
There's a kill switch: you can pause pushing (for example during a QuickBooks outage or a big cleanup) without disconnecting. Re-enable it and any pending events drain out.
If something doesn't appear in QuickBooks
Open Settings → Accounting and System Health — sync status and recent failures are surfaced there, and a stale connection refreshes its token in the background so an idle install doesn't fall out of authorization. Prefer file exports instead? See Export invoices and payments for your accountant.
